Cause: This usually happens from an improper shutdown of Windows (eg power failure or frustrated switch off) or from an unstable network connection, laptop running out of battery.
Symptom: The account is out of balance and will print a message to that effect at the bottom of the page. Or you will notice that transactions are missing or that the account does not seem to add up correctly.
Solution:
- Run a Reindex from the Tools menu
- Run a Check Data Integrity from the Tools menu - this should list any bad accounts that need fixing but may miss them if there are archived lines on the account
- Go to the account and recall ALL the lines that are archived. Then unmatch all the lines that are matched. check up and down through all the transaction lines that the Match column is blank for all lines. (Full instructions with pictures in the Help Files)
- Now you can use the Edit Balances button at the bottom of the Account Details screen to correct the account. Make account brought fwd = 0 and use the left arrow on the screen to move the calculated balances to the stored values. (Full instructions with pictures in the Help Files)
- Note that in the Prof version it is possible to delete archived lines and also to do bulk deletes of old data. This means that it is possible to force the account to an internally unbalanced state. This happens rarely but if it does then you may need to create new entries for any 'missing' lines in order to get the account to be correct and balanced internally. But this should only be done after carefully checking the account as described in Account out of balance
NB - A Reindex and Data Integrity Test MUST ALWAYS be done after any improper shutdown of Windows.
